Office Relocation Planning

An office move has a fixed deadline, and your business has to keep operating through it. We plan each move with a set sequence, an owner for each task, and contingency time.

Silicon Valley Moving & Storage has moved Bay Area offices since 1990, from single suites to multi-floor consolidations. Each move is handled by our own commercial crews and a dedicated project manager.

The plan covers cabling, access badges, and after-hours elevator reservations. We also plan for your first business day at the new office.

How an Office Move Works

Below are the milestones for a representative office move.

Typical project

50-workstation office

Lead time

8 to 12 weeks

Execution

One weekend

  1. 12 weeks

    Site Walkthrough

We survey both addresses, including dock and elevator access, badge requirements, and what is moving and what is staying. Large moves start 8 to 12 weeks out; smaller offices can start 3 to 4 weeks out.

  2. 6 weeks

    Written Project Quote

You receive a written quote covering crew size, trucks, phases, and the after-hours schedule before you sign anything.

  3. 4 weeks

    Floor Plan and IT Cutover

Each workstation is numbered on the destination floor plan, and we schedule the cutover window with your IT team.

  4. 2 weeks

    Building Coordination

We file the certificate of insurance with both property managers, reserve the freight elevators, and book dock times.

  5. The weekend

    Move Weekend

From Friday evening to Sunday night, we disconnect, wrap, load, transport, reconfigure to the floor plan, reconnect, and verify that equipment powers on.

  6. Monday

    Final Walkthrough

Your team returns to a working office, and your project manager reviews the punch list with you.

Your written quote lists the actual dates, phases, and crew plan for your move.

Building Requirements and Certificates of Insurance

Property managers at both addresses require three things before the move can start. We take care of all three:

  • A certificate of insurance naming the building, on file before move day. We carry comprehensive general liability coverage and issue a COI promptly upon request.
  • A reserved freight elevator and dock time, coordinated with building management at both addresses.
  • Badge and after-hours access for the crew, arranged with building security in advance.

For what happens if a monitor or conference table is damaged in transit, see how valuation works. It explains the coverage that applies to every mover.

Office Moving Services

Most office moves include these four areas of work, handled by one crew under one project manager.

IT Infrastructure

We disconnect, move, and reconnect your technology, and we coordinate cutover windows with your IT staff.

  • Disconnect, label, and inventory servers and workstations
  • Custom crating and air-ride transport for network equipment
  • Reconnect and power-on verification at destination
  • Cutover window scheduling with your IT team

Modular Furniture

We disassemble, transport, and reconfigure modular office furniture to your new floor plan.

  • Modular workstations, benching, and cubicle systems
  • Disassembly with hardware tracking
  • Floor-plan reconfiguration at destination
  • Surplus furniture disposal or storage

Employee Relocation

We coordinate household moves for transferring employees and schedule them around their start dates.

  • Priority scheduling for transferring staff

Evening and Weekend Office Moves

We provide evening, overnight, and weekend crews for office clients as a standard service. We schedule the move around your business calendar, and your written quote includes the cost of after-hours work before you commit.

Most Bay Area office moves take place from Friday evening through Sunday night, so employees return to a working office on Monday morning. These moves are staffed by our most experienced commercial crews, with a dedicated project manager on site throughout.

We handle phased moves over several weekends as well as single-weekend moves that start Friday night. Either way, the written quote states the schedule and the cost before you sign.

Common Types of Office Moves

Most office moves fall into one of these categories, and each affects how we schedule crews, equipment, and downtime.

Headquarters Consolidation

Combining several floors or sites into one headquarters, often with the furniture plan and headcount changing until the final week.

Expansion Into Additional Space

Expanding onto an additional floor or suite while the existing team keeps working through the transition.

End-of-Lease Relocation

A fixed move-out date set by the landlord, with the move-out and move-in scheduled around each other.

Merger or Acquisition

Combining two office populations onto one floor plan, with mixed furniture systems and two different IT stacks.

Multi-Site Moves

Several Bay Area offices moving on a shared schedule, or one large move phased across consecutive weekends.

Department, Lab, or Server Room Moves

Moving a single team or room within the same building or campus without disrupting the people around it.

If you are vacating a space without moving into a new one, see office decommissioning. For ongoing reconfiguration within your current office, see Move, Add & Change.

Office Moving Costs

Office moves are quoted per project. These six factors have the largest effect on the price:

  • Square footage and floor count at both addresses
  • Workstation and headcount totals
  • The amount of furniture to disassemble and reassemble
  • IT complexity, from a network closet to a server room
  • Weekday versus evening and weekend execution
  • The distance between your two addresses

You receive a written, itemized quote that lists crews, trucks, phases, and schedule. If the scope changes, we update the quote in writing.

Storage

Phased office moves often need overflow storage.

Project-based commercial storage in our Bay Area facility covers staging during a phased relocation and FF&E receiving before the new space is ready. The same crews handling the move handle the storage.

Comparing Office Moving Options

Companies usually handle an office move in one of the four ways below.

Book a national van line directly

When it fits

A single interstate headquarters move where the long-distance network matters more than local coordination.

With SVM

We provide the same Bekins network, along with a local crew and a project manager who visit both of your buildings.

Use an in-house facilities project manager

When it fits

You have move experience on staff and only need labor and trucks.

With SVM

We can work as the crew under your plan or manage the plan for you, and we quote either option.

Hire an IT-only relocation vendor

When it fits

A server room move with no furniture, employees, or building logistics.

With SVM

One contract covers the server racks, the office furniture, and the freight elevator reservations.

Include it in the general contractor's buildout

When it fits

The move is a small part of a larger construction project.

With SVM

General contractors subcontract the moving work. When you hire us directly, the mover reports to you.

Bekins Van Lines

Nationwide Office Moves via Bekins

Multi-state office relocations are handled through our Bekins Van Lines agency. Whether you are consolidating regional offices, expanding into a new market, or moving headquarters to another state, you have a single point of contact in San Jose. Crews in the national network are held to the van line's standards, including background checks, clean driving records, and training.

Customer Reviews

“We contracted with Silicon Valley Moving to move our company to our new headquarters. They initially sent a representative out before the move started, to give us a quote. A couple days later, several trucks as well as the crew promptly transferred all items from the office into the trucks. A portion of our office goods went to their storage, and the rest was hauled to our new headquarters. At destination, the crew offloaded all of our office goods and electronics, set up the monitors, and cubicles. Thank you everyone at Silicon Valley Moving & Storage for making this large move stress free. We will be using you again in the future.”

Frequently Asked Questions

Show
How far in advance should we schedule an office move?

For moves involving 50 or more workstations, we recommend 8 to 12 weeks of lead time so we can complete site surveys, coordinate with building management at both locations, and order any specialty materials. Smaller office moves can often be planned in 3 to 4 weeks.

Can you move our servers and network infrastructure?

Yes. We handle single racks through full server-room moves: disconnect, label, cushion-wrap, transport, reconnect, and power-on verification, with the cutover scheduled inside a maintenance window your IT team picks.

Do you handle furniture reconfiguration at the new office?

Yes. Our crews disassemble modular workstations, benching, and cubicle systems at the origin, reconfigure them to the new floor plan at the destination, and manage surplus furniture disposal or storage.

What insurance documentation can you provide our building?

We carry comprehensive general liability coverage and issue a certificate of insurance naming your building promptly upon request, at both origin and destination. Freight elevator reservations and dock scheduling are coordinated directly with the property managers as part of the plan.

What happens if our move runs past the scheduled completion time?

Every office move plan includes built-in contingency time, and your project manager adjusts crew allocation in real time if unforeseen issues arise. We tell your facilities team about any schedule risk as soon as it comes up.

Can you coordinate moves across multiple office locations?

Yes. We assign a dedicated project manager who synchronizes schedules, equipment, and crews across all locations. Through our Bekins network, we also handle interstate office moves anywhere in the country.

Request a Project Quote

Send us both addresses, your headcount, and your preferred move date. A project manager will schedule a walkthrough and send you a written quote.
